For your schedulers, supervisors and finance team

Control and accountability, stated exactly.

The office problems that come with scale, and what the product does about each. Where a feature needs a particular plan, the card says so; Enterprise includes everything on Business.

The problem

Shuffling one afternoon means rubbing out half the whiteboard and hoping nothing else clashes.

With Cleaning Operator

Moving a job takes one drag, to a new time or a new cleaner. Click any booking to edit, cancel or charge it.

  • Views: Calendar (default), Day View, Week View, Month View, Week Team View, Day Team (Horizontal), Day Team (Vertical), List
  • Drag a booking to a new time or cleaner
  • Click a booking to edit, cancel, charge or change stop order; New Booking opens as a drawer
  • Week Team and Day Team views need the Business plan or above; the other views are on every plan

The problem

Hours for payroll come from memory, so when a customer says the cleaner left early, I can't check.

With Cleaning Operator

Clock-in and clock-out times show when each cleaner arrived and left, and feed payroll. Approve, reject or escalate each timelog, and review job photos.

  • Approve, reject or escalate a timelog; approved and rejected logs lock
  • Unapproved logs also appear on the dashboard Needs attention list
  • Export timelogs as CSV from Bookings → Timelogs → Export

The problem

Nobody in the office remembers moving a regular's clean, and the customer says they never asked.

With Cleaning Operator

The log settles it. Every booking edit is recorded with who changed what and when, and you can filter by action and date.

  • Reports → Booking Changes Log
  • Filter by action and date range
  • Each entry has a timestamp and a user

The problem

I only find out a cleaner's DBS or insurance has expired when a commercial client asks to see it.

With Cleaning Operator

You spot expiring paperwork before a client does. Add expiry dates to DBS, insurance and right to work documents, and expired or expiring ones are flagged.

  • Documents: passport, driving licence, DBS certificate, right to work, insurance, contract, training certificate or other
  • Each document has a status (pending, verified, rejected) and optional expiry date; expired or soon-to-expire documents are flagged
  • Cleaners → Reorder sets the order cleaners appear

The problem

New cleaners start work before their contract comes back signed, and the paper copy goes missing.

With Cleaning Operator

Contracts get signed online and filed for you. Email a template, see when it is opened and signed, and the signed PDF lands on their record.

  • Tags such as {{provider_name}} and {{business_name}} fill in automatically
  • Tracks when each contract is sent, opened and signed; unsigned links expire after 30 days
  • Signed PDF is stored on Cleaners → Contracts and, for a cleaner, on their documents

The problem

Business plan and above

Friday afternoons go on copying jobs and hours into a spreadsheet and hoping the totals add up.

With Cleaning Operator

The pay report builds itself, with hours, jobs and pay per cleaner from clocked or booked time. Fix a missed clock-out, then save to lock it.

  • Pay on clocked time, or optionally on the assigned (booked) duration
  • Include or exclude job lines and edit clock-in, clock-out, hours or rate before saving
  • Export PDF, then Save payroll to lock the period as a named run

The problem

The whole office shares my login, so there's no telling who changed what.

With Cleaning Operator

Everyone gets their own login, as Admin or Staff. Change a person's role from their profile, and with locations enabled, keep staff to one service area.

  • Staff can be limited to a service area when locations are enabled
  • Plan limits can cap how many admins and staff you have
  • Open a user to edit profile and role

The problem

Commercial clients pay on invoice, and matching each payment back to the right booking is a job in itself.

With Cleaning Operator

Bookings are marked paid when the customer pays the invoice. Pick Invoice as the payment method, and it's generated on your invoice schedule.

  • An invoice is generated on your invoice schedule
  • Separate from the Cash and Card checkboxes on customer-facing forms
  • Turned on under Invoice Settings

From the booking form to the payslip

One record, from the first call to the payslip.

The same record carries from the booking form to the calendar, to the cleaner's phone, to the charge or invoice, to the payroll run and the payslip. Nothing is retyped between steps.

Payroll calculates pay from clocked or booked hours, locks each run and sends payslips to the app. It does not file PAYE, National Insurance or RTI, or run pensions.

Not on this path: quoting and accounting integrations. Cleaning Operator does not do them.

Honest answers

Questions operations directors ask.

Answered from what the product does today. Where something is not in the product, we say so.

We have more than 100 cleaners. Does this work at our size?

The published Enterprise plan includes 100 cleaner accounts, unlimited office users and unlimited service categories at £199 / $249 a month. Above 100 cleaners there is no published tier or price, so the honest answer is to talk to us: book a demo and say how many cleaners, office users and divisions you run.

We run three branches. Can we keep them separate but see the whole group?

Partly. Locations let you define service areas by postcode prefix, such as SW1 or M1, and tick which services and cleaners cover each; office Staff can then be limited to one service area. Industries keep divisions such as Commercial, Domestic and End of Tenancy separate on the booking form and in reports, and Enterprise allows unlimited service categories. The financial report filters and breaks down by industry, service, cleaner, payment method, recurrence and status. What is not in the product: a branch hierarchy with consolidated reporting across separate workspaces.

Our clients pay on invoice at 30 days and want a PO number on everything. Do you integrate with our accounts package?

Invoice is a real booking payment method: staff pick Invoice on the booking, it is generated on your invoice schedule, and the booking is marked paid when the invoice is paid. Invoices carry your company name, address, phone, email, website, tax ID and logo; you set numbering, due days and tax; reminders go out before the due date and repeat once overdue; customers pay by card from a link without a portal login; you can record payments, refund or issue an adjustment invoice. What is not there: a PO number field, consolidated monthly statements, and accounting integrations with Xero, Sage or QuickBooks. Booking export and the Enterprise data export are how data gets out.

We run PAYE through a payroll bureau. Is your payroll a replacement?

No. Payroll builds a pay report for a date range with hours, jobs and pay per cleaner from clocked time (or optionally booked duration), lets you correct a missed clock-out or edit hours and rate, exports a PDF, saves the period as a locked named run, and sends payslips by email, to the app, or both. Timelogs export as CSV. It does not cover PAYE, National Insurance, RTI submissions or pensions; it feeds the statutory payroll you already run.

Security and data: SSO, two-factor, certifications, where is our data, can we get it out?

What we can say from the product today: every office user has their own login as Admin or Staff; card details are handled by Stripe through your own Stripe account, with Test and Live modes; SMS and voice run through your own Twilio keys; email, SMS and booking-change logs are kept; Enterprise includes data export; there is no lock-in contract and you can cancel anytime; Cleaning Operator is operated by a UK company. What is not in the product: SSO or SAML, two-factor authentication, ISO 27001, SOC 2 or Cyber Essentials certification, published uptime SLAs or a public API. Procurement questions go to the security page and our contact email.

Our finance team should not see everything, and schedulers should not see pay. How granular are permissions?

Office users are Admin or Staff, each with their own login, and Staff can be limited to one service area when locations are enabled. On the cleaner side you control what the app shows: booking price, provider pay, customer email and phone and own rating. There are two office roles; custom permission sets or field-level restrictions for office users are not in the product.

We have thousands of customers and hundreds of recurring schedules. What does migration cover?

Customer import takes a CSV, lets you map columns, and reviews duplicates, skipped rows and address errors before importing; it can update existing records by email or skip duplicates, including addresses. The setup wizard covers business profile, service catalogue and team so day one is not a blank dashboard, and a setup checklist tracks what is left. Recurring work is managed as one standing series per customer. Not covered: a bulk import of bookings or recurring schedules, and there is no assisted migration service.
